The Medical Records Coordinator ensures that a complete medical records program is maintained in accordance with company standards, federal, state, and local standards, guidelines, and regulations.

Essential Activities and Tasks 

Quality and Compliance Management - 90%

  • Maintains current and accurate records through use of computers and/or other documentation in accordance with company standards and federal, state, and local standards, guidelines, and regulations

  • Advises Administrator on federal and state laws concerning medical records.

  • Reviews department policies and procedures, at least annually, and participate in making recommended changes

  • Ensures that incomplete records/charts are returned to appropriate personnel.

  • Assists in developing procedures to ensure paper records are properly assembled, coded, signed, indexed, etc., before filing.

  • Ensures established policies and procedures for the medical records section are followed by all personnel.

  • Ensures that work area(s) and equipment are maintained in a clean, sanitary, and safe manner.

  • Maintains the confidentiality/rights of all patients and their care information.

  • Ensures that electronic medical record has been entered correctly.

  • Maintains face-to-face encounters and physician orders using the electronic medical record system.

  • Assists in the management of the efax system by distributing incoming faxes.

Operations Management & Administration - 10%

  • Reviews all records.

  • Collects, assembles, checks and files patient charts as required.

  • Attends all-employee and departmental meetings and in-service training as scheduled or as directed.

  • Efficiently operates the electronic medical records (EMR) system.


All other duties as assigned.

Qualifications

Education

  • High school diploma or equivalent required.

  • Graduate of an approved course for medical records technology.

Experience

  • One year experience in medical records in a long-term care or healthcare facility  preferred.

  • Proficiency with electronic medical records (EMR) preferred.

Other Requirements

  • Must be able to read, write, speak, and understand the English language.

Working Conditions and Special Requirements

  • Sitting - Up to 4 hours/day

  • Standing - Up to 8 hours/day

  • Walking - Up to 6 hours/day

  • Lifting, transferring, pushing or pulling equipment/supplies - Up to 25 pounds

  • Risk Category for Exposure to Bloodborne Diseases - III
