The Corporate Manager of Facilities, plans, organizes, develops, and directs the overall operation of the Environmental Services Department including maintenance, housekeeping, laundry, and security, if applicable, for the Ohio Living life plan communities. The Corporate Manager of Facilities is also responsible for overseeing the preventative and contractual care of the life plan community facilities and ensuring quality work and adherence to budgetary needs in accordance with company standards and federal, state, and local standards, guidelines, and regulations governing the life plan communities to ensure that it is maintained in a clean, safe, and comfortable manner.
Essential Activities and Tasks
Management-20%
Oversees the operations of the Environmental Services Departments and the Directors of Environmental Services.
Monitors compliance with Life Safety Code and OSHA requirements.
Monitors adherence to company standards for work order completion, preventative maintenance, and asset management.
Assists Directors of Environmental Services in identifying life plan community priorities for capital spending requests and routine maintenance.
Receives and reviews all operational contracts under the scope of an Environmental Services Department and makes recommendations regarding the same.
Assists the Corporate Executive of Facilities in the development of annual budgets and contract negotiations for utilities.
Financial, Asset/Materials, and Project Management-20%
Assists in the development of the departmental operational and capital budget and maintains the operations within them.
Assists with managing operational maintenance costs to ensure needs of the life plan communities are met while adhering to the budget.
Takes appropriate actions to ensure physical assets are properly maintained per company standards.
Works with Corporate Executive of Facilities to determine capital project priorities for the year.
Assists and oversees to acceptable completion of unit turnover and capital projects.
Assists in obtaining multiple bids from contractors for capital projects.
Assists in the management of capital improvement projects from start to finish.
Reviews monthly financial preliminaries for accuracy and works with the life plan communities and Finance for corrections.
Operations Management-15%
Oversees the environmental services activities at all life plan communities.
Provides support to the Directors of Environmental Service in managing the maintenance function by overseeing the evaluation, troubleshooting, maintenance, and repair of technical components of the life plan community including HVAC, pumps, motors, etc.
Reviews and makes recommendations to the housekeeping function to ensure a clean and safe environment for the residents, staff members, and visitors in all areas of the life plan community.
Reviews and makes recommendations to the laundry function including the collection, laundering, redistribution and inventory of linens and personal laundry.
Reviews work orders and holds staff accountable to complete them within 24-48 hours.
Assists in developing and maintaining written policies and procedures for the maintenance, housekeeping, laundry, and security departments.
Monitors compliance at the wastewater treatment plant and water treatment plant, if applicable.
Serves as a Director of Environmental Services at a life plan community when needed.
Provides training and guidance to promote quality assurance.
Quality and Compliance Management-15%
Ensures that the building and grounds are maintained in a safe and appropriate manner for resident, staff, and visitor comfort and convenience by ensuring that necessary equipment and supplies are maintained and operable to perform necessary duties and services.
Inspects facilities and equipment for proper order and operation.
Follows up on the status of work orders, regulatory tasks, and subsequent resident satisfaction.
Ensures the development, implementation, and maintenance of ongoing preventative maintenance and quality assurance program.
Reviews, and assists in developing, and implementing plans of correction for environmental concerns and/or deficiencies noted during quality assurance and state and city survey inspections.
Monitors compliance with regulations pertaining to licensure and certification standards for nursing homes and residential care facilities.
Performs duties in accordance with all safety and OSHA requirements, and assures departmental staff does the same through routine inspection.
Maintains the confidentiality of resident and staff information.
People Management and Development-15%
Supports and advises all Directors of Environmental Services in a corporate capacity.
Determines scheduling and staffing requirements necessary to meet departmental needs at the life plan community.
Fosters a positive work environment that attracts, retains, and motivates employees.
Interviews, and assists in the recommendation of new Directors of Environmental Services.
Defines, establishes, and promotes performance expectations so staff understands and demonstrates excellence through high quality and consistent performance.
Evaluates job performance of staff in accordance with the company policy and procedure and provides developmental guidance to staff for improved performance and growth. Provides feedback on Directors of Environmental Services annual performance evaluations.
Monitors accountability with organization requirements prescribed by the Employee Handbook.
Participates in the development, planning, scheduling, conducting, and monitoring of in-service training programs, on-the-job training, and orientation programs for departmental staff.
May assist to ensure that there is a reasonable and sufficient plan for staffing should a direct report be absent or a position is vacant.
Responds timely and thoughtfully to questions, requests, and work product from departmental staff that has been provided for review and approval.
Customer Relations and Service Management-10%
Routinely communicates with the Executive Director and/or Administrator at the life plan communities.
Listens and responds to the needs of residents and staff members.
Reviews and responds to complaints and grievances from residents and staff members regarding all areas of responsibility.
Ensures that resident personal and private property rights are followed by maintenance staff at all times.
Risk Management-5%
Manages the maintenance, housekeeping, laundry, and security functions and team to ensure a safe environment for residents, staff members, and visitors.
Assists the Directors of Environmental Services in coordinating services and activities with other departments, including Culinary, Housekeeping, Laundry, Maintenance, Therapy, Nursing, Activities and Social Services, to ensure the continuity of care.
Serves on various committees (including the life plan communities’ Safety Committees) and attends meetings of the life plan communities providing written and/or oral reports of services and activities regarding the department.
Promotes adherence to state, local, and federal codes by conducting mock surveys at all life plan communities
Assists the Directors of Environmental Services in managing the security function of the life plan communities, if applicable.
Works with others on the development, implementation, and maintenance of emergency disaster programs (i.e. fire, severe weather, etc.).
All other duties as assigned.
Qualifications
Education
High school diploma or equivalent required.
Bachelor's degree in a related field preferred.
Experience
Five years experience in maintenance and environmental services operations management required.
Experience in a long-term care facility, hospital, or other related medical facility required.
Knowledge of housekeeping and laundry practices, procedures, standards, guidelines, and regulations governing housekeeping and laundry functions in a long-term care environment.
Strong knowledge of boilers, HVAC and generators, and various mechanical, electrical, and plumbing systems.
Experience reading and interpreting blueprints.
Knowledge of building codes, LSC, NFPA, EPA, and OSHA regulations.
Proficiency with Windows, Microsoft Office (Word, Excel, PowerPoint), and the internet.
Other Requirements
Must be able to read, write, speak, and understand the English language.
Must possess a valid driver's license and acceptable driving record. Must be insurable under professional liability and crime coverage policies as specified by insurance carrier underwriting standards.
