The Receptionist provides reception desk and clerical support for an assigned location by answering the multi-line telephone system and greeting visitors in a pleasant and welcoming manner.

Essential Activities and Tasks 

Operations Management - 50%

  • Answers the multi-line telephone system and directs calls to proper departments and/or staff. 

  • Monitors main entrance, greets visitors, verifies who is entering the building, maintains the sign-in log for visitors, volunteers, and vendors, and then directs them to the appropriate staff member, department, office, or resident room.

  • Calmly handles all emergencies with resident alert alarms, fire alarms, etc.

  • Maintains and updates resident directory, emergency phone contacts, department extensions, key personnel, etc. on a daily basis. 

  • Receives, sorts, and distributes mail as directed.  Updates resident mail card file/list for forwarding purposes. 

Customer Relations and Service Delivery - 30%

  • Interfaces directly with the public greeting and directing visitors in a pleasant and professional manner.

  • Listens and responds to the needs of residents and staff members.

Administration and Reporting - 20%

  • Assists with administrative duties as directed, including typing, filing, copying, etc.

  • Completes the Daily Huddle information for the location.

  • Completes the Channel 2 broadcast information, if applicable.

  • Completes the gift shop inventory and cash flow, if applicable.

  • Schedules the chapel and sets up the room as needed, if applicable.

  • Maintains files of the business office, if applicable.

  • Sells lunch tickets coordinating additional guests with the Culinary and Nutritional Services Department, if applicable.

  • Inputs beauty shop charges, if applicable.

  • Tracks garage space rental, if applicable.

  • Dispatches security, if needed and applicable.

All other duties as assigned.

Qualifications

Education

  • High school diploma or equivalent required.

Experience

  • Six months experience in an administrative/clerical position required.

  • Experience with a multi-line telephone system required.

  • Must be able to type a minimum of 50 words per minute.

  • Knowledge of office machines, equipment, and procedures required.

  • Proficiency with Windows, Microsoft Office (Word, Excel, PowerPoint), and the internet required.

Other Requirements

  • Must be able to read, write, speak, and understand the English language.

Working Conditions and Special Requirements

  • Sitting - Up to 8 hours/day

  • Standing - Up to 2 hours/day

  • Walking - Up to 2 hours/day

  • Lifting, transferring, pushing or pulling residents/patients or equipment/supplies - Up to 25 pounds

  • Work weekends, evenings, and holidays - Required as scheduled

  • Subject to residents/patients with various disease processes - Occasional
